Privacy Statement
Krakowskie Studia Międzynarodowe / Krakow International Studies respects the privacy of authors, reviewers, editors, readers, and all users of the journal’s website and submission system.
The personal data entered into this journal site and the Open Journal Systems (OJS) platform are used exclusively for managing editorial, peer review, publishing, indexing, archiving, and scholarly communication workflows. These data will not be used for purposes unrelated to the journal and will never be sold or made available to third parties for commercial use.
Data Controller
The controller of personal data processed in connection with the journal and its OJS platform is Andrzej Frycz Modrzewski Krakow University, 1 Gustawa Herlinga-Grudzińskiego St., 30-705 Kraków, Poland.
The University has appointed a Data Protection Officer (DPO), who may be contacted regarding any personal data processing issues at: iodo@uafm.edu.pl.
Categories of Personal Data
Depending on the user’s role and activity in the journal workflow, the following categories of personal data may be processed:
- full name and academic title;
- e-mail address;
- institutional affiliation and address;
- country of affiliation;
- ORCID iD and other persistent researcher identifiers (if provided);
- user account credentials (username, encrypted password);
- editorial correspondence and communication records;
- manuscript submissions, metadata, and uploaded files;
- authorship, contributorship (CRediT), and funding statements;
- reviewer subject expertise and peer-review history;
- editorial decisions, review reports, and tracking records;
- technical data related to website and OJS usage (IP address, browser type, server access logs, and necessary cookies).
Purposes and Legal Grounds for Processing
Personal data are processed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (General Data Protection Regulation – GDPR) under the following legal grounds:
- Performance of editorial workflows (Art. 6(1)(b) GDPR): creating and managing user accounts, managing submissions, double-blind peer review, typesetting, proofreading, and publishing;
- Compliance with legal obligations (Art. 6(1)(c) GDPR): meeting university statutory reporting obligations, maintaining copyright records, and statutory archiving;
- Legitimate interests of the Controller (Art. 6(1)(f) GDPR): ensuring scholarly communication, maintaining the permanent integrity of the academic record, investigating potential publication malpractice (plagiarism, authorship disputes), defending against legal claims, and securing the IT infrastructure of the platform;
- User consent (Art. 6(1)(a) GDPR): where users voluntarily provide optional profile data or subscribe to journal notifications.
Publication of Author Data
By submitting a manuscript, authors acknowledge that if accepted for publication, selected personal data necessary for international scholarly communication will be made publicly available. This includes: author name, institutional affiliation, country, ORCID iD, corresponding e-mail address, acknowledgments, contributor roles, and funding statements.
Article metadata are deposited permanently into international indexing and citation databases (e.g. Index Copernicus, BazHum, CEJSH, CEEOL, EBSCO, PBN), institutional repositories (such as eRIKA), and Crossref for persistent DOI registration.
Reviewer and Editorial Confidentiality
Personal data of reviewers are processed strictly to administer the peer-review process. The journal operates a double-blind peer-review system, meaning reviewer identities are never disclosed to authors.
Peer-review reports, editorial decisions, and associated correspondence are archived securely within OJS to preserve the accountability, rigor, and auditability of the publishing process.
Data Retention
Personal data are retained only as long as necessary to achieve the scholarly purposes for which they were collected:
- Published articles and associated metadata: retained permanently to preserve the continuity and integrity of the scholarly record;
- Rejected or withdrawn submissions: retained securely within the OJS archive as necessary to document editorial decisions and prevent redundant duplicate submissions;
- User account records: retained until an account deletion request is made, provided that it does not conflict with preserving authorship records of published works.
Rights of Data Subjects
Under the GDPR, data subjects are entitled to exercise the following rights:
- the right of access and the right to obtain a copy of their personal data;
- the right to rectification of inaccurate or incomplete personal data;
- the right to erasure (subject to limitations concerning permanent scientific publications);
- the right to restriction of processing;
- the right to object to processing;
- the right to lodge a complaint with the competent supervisory authority: the President of the Personal Data Protection Office (UODO, ul. Stawki 2, 00-193 Warsaw, Poland).
